Key Respoibilities:
? Full secretarial support to the Management executives.
This includes:-
? Plan and organise work schedule to maximise their use of time, allowing adequate time for meetings to eure that their day ru smoothly and they have achieved all they have planned to.
? Euring regular communication between youelf and the executives, so that both of you are aware of movements/pla, euring that both of you have accurate information and your manager arrives promptly for meetings.
? Travel planning and booking accommodation as required.
? Handle phone calls and mail, screening as appropriate to eure executives' time is used efficiently.
? Preparation of Powerpoint presentatio
? Arrange meetings and semina, euring as appropriate that participants have all relevant pape in advance and euring specifically that the Managing/Regional Director is well prepared for meetings.
? Taking minutes at meetings, tracribe and present back to attendees accurately and in the appropriate format.
? Manage and maintain an effective filing system, euring that filing is completed on a regular basis, so all files are kept up to date and can easily be accessed by Executives
? Implement new ideas and methods and continue to seek ways of both improving contribution to the organisation’s goals and enhancing the reputation of the company.
? Develop an awareness and undetanding of Executives internal and external contacts in order to efficiently perform key respoibilities of the position.
? Perform administrative duties when needed, such as but not limited to, expee claiming, annual leave report filing, iurance claim, summary of vendor usage info, etc.
? Perform other ad-hoc duties required by Executives.
Hiring Requirements:
? Good command of written and oral English. You will be required to tralate documents and emails from Chinese to English and vice vea.
? Good knowledge of modern office procedures and methods including telephone communicatio, and other facilities in the office.
? Must possess a friendly demeanor
? Proficient with Microsoft Office, and ability to learn new software applicatio.
? Team player with ability to work across multiple departments.
? Ability to learn new things fast, to multi-tasking abilities, and to work under pressure.
? Detail-minded, Self-motivate and with good interpeonal skills are required
