主要工作职责:
Handle VP office administrative work including the distribution of correspondence with other departments.
负责副总裁办公室行政工作包括与各部门的沟通协调。
SPECIFIC DUTIES
特别工作任务 :
1.Administrative Support
行政工作支持
a.Respoible for the daily administrative work of the related departments.
负责各部门日常行政工作。
b.Handling incoming calls, schedule appointments for VP. Remind VP on all important appointments/events or activities that require his attendance.
来电接待及安排VP会议日程。提醒VP出席重要会议及活动。
c.Compile the attendance record and keep track on all overtime record and leave application record.
完成员工考勤记录,保存所有加班及休假记录。
d.Prepare relevant materials for all meetings attended by VP.
提前准备好VP所参加会议所需材料/文件。
e.In charge of the departmental notice board and make certain that the relevant information is posted.
将相关信息准确传达至部门员工。
f.Typing, tralating, taking dictation and minutes, composing correspondence for VP as required.
完成会议记录并根据VP的要求撰写书信。
g.Assist in compiling periodical reports.
协助完成定期报告。
2.Coordination with other departments
与其他部门的协调
a.Act as a key coordinator between Human Resources on roster arrangements, attendance record, leave record and other HR related matte.
作为一个协调员,就排班安排、考勤记录、休假记录及其他相关事宜等与人力资源部进行沟通协调。
b.Handle the flow of correspondence and memos with other departments.
同其他部门沟通,传达信息及通知。
3.Sales Support
销售支持
a.Assist in data input in S&C.
协助将数据输入电脑系统。
b. Handle sales enquiries to relay the requests to respective sales associates
处理销售咨询并将客户的要求传达给相关的销售经理。
c. Prepare sales contracts and correspondence for custome.
准备销售合同并递交给客户。
4.Filing
档案整理
a.To be in charge of the office filing system and be sure that all correspondence are properly filed.
整理办公室文档并且确保所有信息被合理保存。
b.Conduct regular filing audits and report to related department Director on any defects.
负责日常文档资料的审核,如发现问题及时上报给相应部门总监。
5.Budget Control
预算控制
a. Respoible for the tracking of various expees incurred such as traportation, sales trip, and office supplies etc.
负责控制各种花费,如交通、销售出访及办公室用品等。
b.Monthly update of the actual expees for record purposes.
每月更新实际费用的记录。
JOB SPECIFICATION
职位要求 :
Profile of Competency
工作能力:?Minimum 2 yea work experience in administrative work.
两年以上行政工作经验
?Ability to handle administrative work as required using appropriate computer software.
熟练使用电脑软件处理行政工作
?Good interpeonal skills.
良好的人际交往能力
?Ability to communicate effectively with various departments.
能够同其他部门有效的沟通
Language 語言能力:?Proficiency in written and spoken English
英语说写能力良好
Education 教育:?Good general education, preferably Univeity graduates.
